As we approach the most wonderful, and busiest, time of the year in events; with Christmas festivals and light switch-ons, to work Christmas parties and New Year’s Eve spectaculars, every event organiser wants to make this season the best yet. We know that entertainment can either make or possibly break an event it if it’s not the right act… With endless choices and always limited time to peruse options, this month we look at the value of using an entertainment agent to source acts for you, and what you can expect from working with one.

An agent can be an invaluable resource for you. When you think, their role is to source acts, check availability and pricing, gather technical specifications, draw up contracts for you and the acts, keep in regular contact with both sides, ensure final checks are made and relayed to everyone. After the event, a good agent will also follow-up with the acts and clients to gain feedback and ensure everyone was happy.

In the run-up to an event, there are often last minute questions, venue challenges, or timing changes. Rather than adding to your own existing workload, using an entertainment agent means you should have a dedicated point of contact to take care of these issues, saving you any panic close to the occasion.

With thousands of entertainment acts to choose from, all claiming to offer the best, how do you know who to trust? Who is going to turn up on time, conduct themselves professionally on-site, be understanding and flexible to your needs, and put on a darn good show? A good agent will know and have confidence in the acts that they work with, and be able to wholeheartedly recommend them to you.

For any event, you will have a budget to work within. As well as an agent often having preferential rates with their regular acts, they will source the right people that fit within your budget, saving you valuable time and resource!

There are hundreds of entertainment agents out there, and like any other industry, there are the good and not so good. If you regularly organise events, partnering with one or two preferred agents with whom you can build a trusting relationship, means they will get to know and understand you and your events, and grasp what is important to you in sourcing an act. One call to your partner agent will save you trawling through a plethora of different acts and different agents.

An established agent knows the industry and the acts they work with. They often have knowledge of venue restrictions such as noise limiters, tricky access points or room dimensions, so they can recommend the best acts for the job. They are up-to-date with the latest trends of the season and can offer you recommendations and suggestions which you may not already know or have thought about.

If you are booking a number of acts for an event, having one point of contact in your agent saves you multiple calls with different artists and the venue to discuss technical requirements and the running order of the occasion. Leave it to your agent to handle to co-ordination between the venue, AV team and acts.

An agent will look at your event as a whole, and offer you support in ensuring that everything runs smoothly. An extra pair of hands to liaise with the acts and venue, and ensure a seamless night/day of success!

As a caring agency that prides itself on knowing the acts that we recommend, we have built up trusting relationships with our suppliers. We are dedicated to their wellbeing and success, as an act that deserves to be seen and heard! Because we look after our acts, you can rest assured that they enjoy working with us too and will do their best to make your event a hit!

Using an agent’s expertise is not free of course, and you can expect to pay a fee for their service, but by working with an expert who will help guide and support you throughout the process, you will save yourself hours of additional work (and worry!).
